For festival organizers · Canada & US

From registration
to ovation.

One platform where you build the festival, families register at ease, and teachers, accompanists, and adjudicators know exactly what to do — all around a single performer record.

Built by two people who run a 94-year-old festival. We wrote this because we needed it.

Illustrative interface — sample numbers, not a real festival.

The problem

You’re running a festival on four things at once.

Registration lives in one tool. Judging lives in another. Then a spreadsheet holds it all together, an email chain fills the gaps, and paper certificates close it out.

And when the season ends, a performer’s history scatters — a PDF here, a printed critique there, a certificate in a drawer. Next spring, everyone starts over.

The experience

Let’s give everyone a standing ovation.

The best festivals are not just well-organized. They feel calm for every person who touches them. That’s where Ovaro starts.

Why Ovaro is different

Four things nobody else in this space does together.

  1. One platform, not a patchwork

Registration through certificate lives in one system. No more reconciling four tools and a spreadsheet at midnight.

  2. One record for life

A performer is entered once. That record follows them across every event, every organizer, every year.

  3. An audition-ready portfolio

Results, critiques, certificates, and recordings build into a portfolio the performer keeps — ready when university calls.

  4. Built for youth, safe by design

Guardian-owned data, consent, and privacy are core, not retrofitted. Families always control what's shared.

How it works

Five steps, from first entry to final certificate.

  1. Set up your event

Pricing, syllabus, and rubrics — self-serve, in an afternoon.

  2. Families register and pay

One guardian-owned link. Payments in, entries organized.

  3. Schedule and publish the program

Draft, resolve conflicts, share a program families can read.

  4. Judges adjudicate

On any device, with your rubric — comments and scores in one place.

  5. Results, awards, portfolios

Certificates go out. Every performance lands in the performer's record.

Succession

When your festival director steps down, the festival shouldn’t wobble.

Right now the schedule lives in one person’s spreadsheet, the syllabus lives in their inbox, and the reason it’s done that way lives in their head. Every season, festivals across the country lose that person and start over.

Ovaro holds it instead. The classes, the fees, the rubrics, the scheduling rules, the history — in one place, where the next person can pick it up in an afternoon.

Who it’s for

Built for every role at the festival.

Each group gets a calmer, clearer experience. Read more about what that looks like for each role.

  • Organizer

Set up your syllabus once. Build the schedule without a wall chart. Send results the same day instead of the following week.

  • Family

Register once. Own the performer's record for life, across every festival they ever enter, and download it as a portfolio when university asks.

  • Teacher or studio

Enter your whole studio in one flow and get one invoice. See all your students' times in a single view instead of hunting a 40-page program. Keep their results, critiques and recommendations year over year — your studio's record, not just theirs.

  • Accompanist

Your run sheet in time order: time, room, performer, piece and key. Set the days you can't play before the schedule is built, and get told when something moves — by us, not by a parent in a hallway.

  • Adjudicator

Score and comment on any device, on your own rubric, with or without wifi. No transcription, no runner carrying paper, no evening spent turning notes into certificates.

Who’s building this

Who’s building this

Built by two people who run a 94-year-old festival. We wrote this because we needed it.

Not a software company that discovered festivals. We know what a syllabus is, why the accompanist needs a run sheet in time order with keys, and what a recommendation to provincials means to a fifteen-year-old.

We only publish quotes and festival names with permission, from festivals actually running on Ovaro.
